  • Overview

    Position Purpose

    Responsible for successful proactive customer service and quality relationships with YPO members relating to our event offerings.

    Provides event support (pre-event and occasionally on-site) and coordinates communications to member champions, YPO event managers and the YPO management team. Responsible for up-to-date knowledge of registration policies and procedures. Has significant interaction at all levels with YPO membership and YPO management team.

     

    Responsibilities

    Primary Responsibilities

     

    • Accountable for the entire registration process for assigned events
    • Creates set-up of websites for assigned event registrations, utilizing Cvent
    • Coordinates and develops registration reports on behalf of assigned events
    • On occasion, and as needed, provides on-site management and support of the registration process
    • Responds in a quality and timely fashion to all general registration inquiries from members and staff, including event registration and logistics; manages open support tickets appropriately
    • Provides proactive customer service as primary YPO contact for all event-related member needs
    • Committed to and promotes YPO’s philosophy for a positive member experience and one-on-one personal communications
    • Increases YPO member involvement outside the chapter via international event participation using outbound calling campaigns and inbound call management to encourage event registration
    • Works with event managers to coordinate name badge production as appropriate and required for event
    • Communicates member feedback to management staff to enhance systems and programs
    • Assists in developing and documenting new processes and system improvements, simplifying transactions, enhancing service and enriching member interaction with YPO
    • Responsible for accurately maintaining database records for event registration, data for assigned events, and member records that pertain to such
    • Coordinates with finance department to process event payments on behalf of YPO members and actively monitors financial transactions
    • Responsible for collection of event registration fees before event occurs; participates with event manager in certain situations to collect fees post-event
    • Respond to askevents@ypo.org email within 24 business hours or less
    • Regular and timely attendance and service with a smile

    Qualifications

    Experience/Background

    • Strong background and experience in delivering exceptional customer service
    • Event Coordination experience required
    • Ability to work collaboratively in a multi-cultural organization
    • Must have exceptional attention to detail and the ability to stay highly organized
    • Proficient in specific software programs and tools: Microsoft Office Suite (Outlook, Excel); Cvent; Salesforce

     

    Schedule & Availability

    • Ability to work flexible and/or extended hours as needed and willingness to travel
    • Will periodically need to be present at events
