    Position Title: Network Coordinator

     

    Reports to (Title): Sr. Manager, Networks Governance

     

    Department: Networks

     

    Classification: Contract

     

    Desired Location: UK / remote work 


    Position Purpose

     

    Responsible for the day-to-day administrative support of the Networks department, supporting the team’s work with the Networks Committee and work groups including calls and meetings. Takes the initiative and assists members of the department in providing exceptional member value and working as part of the Networks team to help achieve YPO functional goals and objectives.

    Responsibilities

    Essential Duties and Responsibilities (include but are not limited to):

    • Assist Networks Council and network’s executive committee communication including scheduling and managing the video conference (Zoom) calls, compiling and distributing agendas, pre-reading materials and call summaries.
    • Schedule and manage calls for the Networks Committee (NC) and Networks Council work groups; Collect and compile the work group summaries. Assist management team leads as needed.
    • Assist with all aspects of the in-person NC and Networks Council meetings including all logistics, compiling and distributing meeting agenda and pre-reading materials, compiling and maintaining the Chairman’s schedule, ensuring members are registered, on site facilitation, planning special committee dinners/events.
    • Organize and maintain current method of sharing discussion items, meeting documents and other critical data (Exchange dashboard, Diligent Boardbooks, etc…) uploading and editing as needed.
    • Manage regular Network team calls including scheduling calls, collecting agenda items, managing the actual call and compiling and distributing summaries.
    • Assist in coordinating Networks team annual in-person team meeting, including all logistics, on site facilitation, planning team dinners/team-building activities.
    • Maintain a team Outlook calendar with relevant international, regional and chapter events for the Networks team.
    • Provide monthly quality assurance on Networks Department pages and Network home pages (Sharepoint and Exchange) and manage any changes including uploading newly provided content and deleting dated material.
    • Assist with coordination of special projects as requested.
    • Serve as a conduit for general network inquiries from members and management team
    • Develop processes to coordinate with other departments for intra-office communications, system reports, other needed tasks.
    • Foster effective relationships with all levels of contacts, including YPO members, management team, outside resources and vendors.
    • Assist with new team member onboarding as requested.

    • Strong administrative and planning skills.
    • Ability to interact with executives in professional cooperative program planning and assist in helping them achieve excellence in a voluntary role for YPO initiatives.
    • Professional demeanor and strong customer service orientation.
    • Excellent oral and written communication skills, including proof reading.
    • Ability to work independently, to be self-motivated, in a fast-paced, global environment.
    • Excellent interpersonal skills and ability to build relationships with all level of individuals from many different cultures.
    • Respect integrity of data and confidentiality required of position.
    • Ability to thrive in an environment of frequently changing priorities and as an integral part of a team.
    • Ability to work flexible and/or extended hours as needed and willingness to travel.
    • Sensitivity to a multi-cultural environment and able to work as part of a team.
    • Regular and timely attendance.

     

    Education/Training

    • College degree or equivalent experience
    • Minimum three years of customer service or executive-level administrative support experience
    • Demonstrated computer skills including Microsoft Office and database management (preferably in CRM and/or Salesforce)


    Physical Requirements

    • Ability to work for extended hours at a computer screen.
    • Ability to travel domestically and internationally (approx. 10%)
